ZealMint Operations AI is a work app made by ZealMint Technologies Private Limited (23-43, RK 395, RK Nagar, Secunderabad, Hyderabad, Telangana 500047, India). Organisations — for example a hospital, a facilities company or a retailer — use it to run checklists, scheduled tasks, attendance and tickets for their staff. This policy explains what ZealMint Operations AI collects, why, who it's shared with, and your choices.

Who is responsible for your data

You use ZealMint Operations AI because your organisation (your employer or the company you work with) set up an account for you. Your organisation decides what ZealMint Operations AI is used for and is responsible for the data it collects about its staff. ZealMint provides and runs ZealMint Operations AI on your organisation's behalf and only uses the data to provide the service to them. You can't sign up to ZealMint Operations AI yourself.

What ZealMint Operations AI collects

• Account details: your name and mobile number (and email, for people who use the web CRM), your organisation, departments and sites, your role, and your app language.
• Work you record: checklist and form answers, photos, voice notes and signatures you add, scheduled tasks you complete, tickets you raise or work on, and comments.
• Location: your device's location when you capture a photo or form that asks for it, and when you punch in or out — so your organisation can confirm the work or attendance happened at the right site. ZealMint Operations AI only uses location while you're using these features; it does not track you in the background.
• Attendance: punch-in and punch-out times, the site, whether it was within the site's area, leave requests and their reasons, and corrections you ask for.
• Device details: device type, operating system version and app version with each punch, and a notification token so ZealMint Operations AI can send you notifications.
• Camera, microphone and QR scanning: used only when you take a photo, record a voice note or scan a code. ZealMint Operations AI keeps the photo, recording or code you capture — nothing else from the camera or microphone.

How it's used

• To show you your tasks, forms, schedule, leave and tickets, and to send you notifications about them.
• To let your organisation's admins and supervisors see and manage the work, attendance and tickets of the people they're responsible for, and to produce reports and payroll figures from attendance.
• If your organisation switches on AI checks, photos and answers on those forms are checked automatically (for example, that a photo shows what the question asks for).
• To keep ZealMint Operations AI secure, prevent misuse, and fix problems.

ZealMint Operations AI does not sell your data, show you ads, or use your data for advertising.

Who it's shared with

• Your organisation: its admins and your supervisors, according to the access your organisation sets up.
• Service providers that run ZealMint Operations AI for us, under contract and only for that purpose: Supabase (database, sign-in and file storage), Amazon Web Services (web hosting and encrypted backups), Expo (app updates and delivering notifications), and — only if your organisation turns on AI checks — OpenAI (checking photos and answers). The app's data is stored in Singapore.
• When the law requires it, for example a valid legal request from authorities.

How long it's kept

Data is kept while your organisation uses ZealMint Operations AI, or as agreed with your organisation. Backups are kept for 30 days. When your organisation stops using ZealMint Operations AI, its data is deleted within 30 days of the end of the contract.

Security

Data is encrypted in transit and at rest. Sign-in on the app is stored in your device's secure storage. Access inside your organisation is limited by role, and admin actions are recorded in an audit log.

Your choices and rights

• You can turn off notifications, and you can deny camera, microphone or location access in your phone's settings (some features won't work without them — for example, punching in needs location).
• You can ask to see, correct or delete your data. Ask your organisation's admin first, since they manage your account; you can also contact us. See how to delete your account.
• Depending on where you are, data protection law (such as India's Digital Personal Data Protection Act, 2023) may give you further rights, including the right to raise a grievance.

Children

ZealMint Operations AI is for work use by adults and is not meant for children.

Changes

If this policy changes, the new version is posted here with a new date.
